The Commercial Assistant provides comprehensive support to the Business Developers in all phases of pre-sales and commercial activity. The primary objective is to ensure the timely, accurate, and compelling preparation of expressions of interest, technical and commercial proposals, and tender responses directed at existing clients and prospective accounts.
Acting as a critical link between internal technical teams and external stakeholders, the Commercial Assistant contributes directly to the organisation’s revenue pipeline by enhancing the quality and consistency of all outgoing commercial documentation.
• Initiate drafts, format and review expressions of interest (EOIs), requests for proposals (RFPs), and requests for quotations (RFQs) in compliance with client specifications and deadlines.
• Compile and maintain a library of standard proposal content, including company credentials, project references, CVs, templates for technical and financial proposal forms, and technical descriptions.
• Ensure proposals are internally consistent, error-free, and aligned with the organisation’s brand and quality standards.
• Organise and archive commercial documentation for audit trails and knowledge management purposes.
• Liaise with internal departments (engineering, finance, legal, operations) to gather inputs required for proposals.
• Support Business Developers in follow-up actions with clients and partners post-submission.
• BTS or Bachelor’s degree (Bac+3) in Business Administration, Commerce, Marketing, Engineering, or a related field.
• Minimum 2–3 years of experience in a commercial support, bid management, or proposal coordination role, ideally within a B2B or project-based environment.
• Demonstrated experience in preparing formal commercial and technical documents for clients.
• Prior exposure to public or private procurement processes, in particular projects funded by international financial institutions, is a strong asset.
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document formatting tools.
• Familiarity with tender/e-procurement platforms and bid submission processes.
• Experience with desktop publishing or proposal automation tools is a plus.
• Exceptional written and verbal communication skills in English, and ideally in French
• Strong organisational and time-management abilities, with the capacity to work in a fast-paced environment and manage multiple deadlines simultaneously.
• Rigorous attention to detail, particularly in document accuracy, formatting, and compliance.
• Proactive, resourceful, and solution-oriented mindset.
• Ability to work autonomously while maintaining effective collaboration with cross-functional teams.
• High degree of discretion and professionalism in handling confidential commercial information.
• Office-based with potential for hybrid/remote arrangements, subject to company policy.
• Peak workload periods are expected around major tender deadlines.
